5 Tips to Choose the Right Venue

Getting the venue for an event can be a nightmare to every planner as it might turn out to be either the best or the worst. There are many things that you need to take into consideration whenever you choose a venue to make sure everything goes smoothly. Here are 5 tips for you to choose the right venue for your upcoming events.

#1 Location

The venue location is one of the most important parts in planning an event. A good venue should have public transports, and parking space nearby. While for a multi-day event, finding a venue that is located near by a hotel will be excellent. Other than that, making sure that the venue location is suitable for the event you are organizing. Because you surely does not want to have a big event in a small venue.

#2 Size

As mentioned above, finding a suitable venue for you event is important. Because organizing an event with huge number of people in a small space will cause overcrowding. But bear in mind that by organizing it in a huge venue space with average number of people will also make the event feel empty and boring. So size of the venue must be just right! Most venues should have capacity limits for all their rooms/halls. Hence, make sure to aim it slightly lower than the capacity limits to avoid overcrowding.

#3 Services & Amenities

After getting the right venue, it is also important to take consideration about the services and amenities that the venue offers. One of the most important thing that you should put into consideration is FOOD. Does the venue provide catering? If they don’t provide catering service, is it possible for you to bring outside catering into their venue? If not, it can be negatively impact the experience of your guests. Other than that, equipment that are provided by the venue are also important. Do they provide tables, chairs, AV capabilities, because you surely does not want to bring all the equipment to the venue. Unless you are not confident with the venue’s equipment, you may bring some with you, just in case anything happen.

#4 Food

Good choices of food and drink will make your event memorable to your guests. Everyone likes good food, right? Choose something that can be tasted by everyone to avoid unhappy guests. Especially in Asia country, there are various type of religions, and races. So choosing the menus can be a little tough.

#5 Date & Time

For your information, if you set up the wrong date and time for your event, you will most likely ruin your own event. Why is it so important? Well, before you set the date and time for your event, make sure to check the calendar for significant events around the time you are planning. Because if you and your competitor set up an event on a same date and time, it is either you win or you lose.
